The Role

We're looking for a Procurement Executive who can own our procurement function end-to-end. This is a hands-on role where you'll work closely with Technology, Engineering, Projects, Finance, Operations, and our manufacturing team to ensure that the right products, components, services, and infrastructure are sourced at the right cost and delivered on time.

You'll be responsible for procurement across technology and product requirements-including cameras, edge devices, GPUs, servers, networking equipment, storage, electronic components, software and cloud services-as well as general operational requirements.

The role will also involve regular travel between our Pune operations and the Delhi factory to coordinate procurement, vendor activities, material movement, inventory, production requirements, and other operational needs.

This role requires someone who is comfortable going down to the smallest detail, from sourcing a single component or quotation to negotiating with vendors, tracking deliveries, verifying invoices, and ensuring complete closure.

What You'll Do

· Own the complete procurement lifecycle from requirement gathering and vendor sourcing to quotation, negotiation, purchase order, delivery, invoice verification, and closure

· Work closely with Technology, Engineering, Projects, Finance, Operations, and the factory team to understand procurement requirements and timelines

· Source and procure technology and product-related requirements including cameras, edge computing devices, GPUs, servers, networking equipment, storage, electronic components, and related infrastructure

· Manage procurement of software licenses, SaaS platforms, cloud services, office equipment, consumables, and other operational requirements

· Coordinate regularly with the Delhi factory Team for material requirements, procurement planning, inventory, deliveries, and production-related needs

· Travel between Pune and Delhi as required to support factory and procurement operations

· Identify, evaluate, onboard, and maintain relationships with reliable vendors across technology and general procurement categories

· Maintain multiple vendor options for critical products and components to reduce dependency and supply-chain risks

· Obtain competitive quotations from multiple vendors and prepare comparative statements covering price, specifications, warranty, delivery timelines, and payment terms

· Negotiate pricing, discounts, credit terms, warranty, AMC, replacement terms, service commitments, and other commercial terms with vendors and partners; develop and manage L1, L2, and L3 partner networks to ensure competitive sourcing and supply continuity.

· Travel nationally and internationally to attend relevant expos and industry events, identify new partners, and visit new and existing partner facilities to vet their premises, capabilities, infrastructure, quality standards, and overall suitability.

· Create and manage purchase orders and maintain a live tracker of orders, deliveries, payments, and pending actions on InvenTree or relevant portal

· Proactively follow up with vendors to ensure timely delivery and resolve delays or supply issues

· Coordinate with the factory and internal teams to verify received materials against specifications, quantity, and condition

· Handle defective, damaged, short-supplied, or incorrect items and drive replacements, returns, and warranty claims through closure

· Maintain records of technology assets, serial numbers, vendor details, purchase information, and warranty status

· Verify vendor invoices against purchase orders and delivery documentation and coordinate with Finance for timely payments

· Maintain complete and audit-ready procurement documentation including quotations, comparisons, approvals, POs, delivery documents, agreements, invoices and payments.

· Monitor vendor performance across cost, quality, delivery, and service

· Prepare monthly procurement reports, spend and savings analysis, track procurement against budgets, and contribute to preparing the procurement budget for the upcoming financial year, along with updates on pending orders and procurement risks.

What We're Looking For

· 2-4 years of hands-on experience in procurement, purchasing, or supply chain management

· Bachelor's degree in any discipline; Supply Chain, Engineering, Electronics, Business, or related background is preferred

· Experience in procurement department of IT hardware, is strongly preferred

· Strong vendor sourcing, negotiation, and relationship management skills

· Ability to understand and work with technical specifications and coordinate with teams

· Strong understanding of quotations, comparative statements, purchase orders, invoices, and commercial terms

· Proficiency in MS Excel/Google Sheets

· Strong follow-up and coordination skills with the ability to manage multiple procurement activities simultaneously

· Highly organised and detail-oriented, with the ability to track individual requirements, orders, deliveries, and invoices through closure

· Strong written and verbal communication skills

· Willingness and flexibility to travel regularly between Pune and the Delhi factory

· Ability to work independently and take complete ownership with minimal supervision

Nice to Have

· Experience procuring cameras, GPUs, servers, edge devices, networking equipment, electronics, or other technology components

· Experience working with technology/product companies, system integrators, electronics manufacturers, or infrastructure companies

· Familiarity with ERP, procurement, inventory, or asset management systems

· Understanding of cloud services, SaaS subscriptions, software licensing, or IT infrastructure procurement

· Experience managing AMC, warranty, service contracts, or technical vendor relationships

· Experience in procurement for large-scale technology deployments or field projects

· Experience coordinating procurement with a manufacturing or factory setup
